We process the data in order to:

  • communicate with you about our products and services
  • deliver our services and fulfil our contracts and agreements with you
  • improve our products and services and our communication with you
  • administer your relationship with us
  • comply with legal requirements, e.g. bookkeeping.

The contact form

When you send a message through the contact form, we receive your name, email address and message. We only use them to answer your enquiry. The form is run by Formspree, which forwards the message to us by email and processes the data on our behalf. Formspree also processes the sender's IP address and browser information to prevent spam and fraud.

Hosting

The website is hosted by Simply.com in Denmark. The web server logs visitors' IP addresses for security and troubleshooting.

Employees

We process ordinary personal data such as name, address, phone number, email address, email correspondence and notes on other communication. Normally we do not process data on criminal offences, but in special cases we process information from criminal records. Sensitive personal data: employment, salary and tax matters, trade union membership and sickness.

We process the data in order to manage the relationship between employer and employee and to comply with legal requirements, e.g. tax. Salary data is passed on to the Danish Tax Agency (Skattestyrelsen), Efficacy's payroll provider, and the employee's bank and pension company.

Legal basis and consent

We ask for your consent before we process your personal data for the purposes described above, unless we have another legal basis for the processing, for example that we have entered into, or intend to enter into, a contract with you and the processing is necessary to fulfil it. If you send us an email, you consent to us processing the information in it. Your consent is voluntary, and you can withdraw it at any time by contacting us.

We may need to use your personal data for a purpose other than the one it was collected for. Unless you have consented to the new use, we check whether the new purpose is compatible with the original one.

How we handle your data

We only process data that is relevant and sufficient for the purposes above, and we do not use more data than we need. Before we process your personal data, we check whether we can reduce the amount of data, and whether some of it can be used in anonymised or pseudonymised form.

We check that the personal data we process about you is not incorrect or misleading, and we keep it up to date. Please tell us about relevant changes, for example through the contact form.

We delete your personal data when it is no longer needed for the purpose it was collected for, unless the law requires us to keep it.

We protect your personal data against being destroyed, lost or altered, and against unauthorised disclosure or access. We use virus scanners on all computers, make sure that data is only available to the relevant employees, and take regular encrypted backups. If a security breach results in a high risk for you of discrimination, identity theft, financial loss, loss of reputation or other significant disadvantage, we will notify you as soon as possible.

Who we share data with

We only share personal data about partners and customers with the suppliers that process data on our behalf: Simply.com (hosting of this website, Denmark) and Formspree (the contact form, USA). If you accept cookies, Meta and LinkedIn also receive data, see Cookies below. When data is transferred to a country outside the EU/EEA, we make sure there is a legal basis for the transfer, such as the EU-US Data Privacy Framework or the EU Commission's standard contractual clauses.

Cookies

This website only sets cookies if you accept them. If you click Accept in the cookie banner, we use the Meta Pixel and the LinkedIn Insight Tag. They tell Meta and LinkedIn that you have visited the site, so we can measure our ads and show ads to people who have visited it. Meta and LinkedIn process the data under their own privacy policies (Meta, LinkedIn).

If you click Decline, no cookies are set. You can change your choice at any time under Cookie settings at the bottom of every page.

Your rights

You have the right to know which data we process about you, where it comes from and what we use it for. Use the contact form or send an email.

If you believe the personal data we process about you is inaccurate, you have the right to have it corrected. In some cases we are obliged to delete your personal data, for example if you withdraw your consent. If you believe your data is no longer needed for the purpose it was collected for, you can ask us to delete it. You also have the right to object to our processing of your personal data.

You have the right to receive the personal data you have provided to us, and the data we have obtained about you from others based on your consent. If we process data about you as part of a contract to which you are a party, you can also have your data sent to you.

If you want to complain about how we process your personal data, you can contact the Danish Data Protection Agency (Datatilsynet), datatilsynet.dk.
